What You'll Do8
- 1Own the daily operations of the Executive Office, setting service standards and procedures that ensure CEO, ELT, and Board support is consistent and reliable.
- 2Lead a team of administrative professionals, coaching, managing performance, and planning workload to meet organizational demands.
- 3Restructure executive support workflows within the first 90 days, reducing response times by 20% and prioritizing high-impact tasks.
- 4Coordinate Board meetings, including logistics, materials, and follow-up actions, ensuring seamless execution and documentation.
- 5Improve administrative processes using Microsoft 365, SharePoint, and DocuSign to automate routine tasks and enhance collaboration.
- 6Serve as a trusted gatekeeper, handling confidential information with discretion and professionalism across all interactions.
- 7Collaborate with cross-functional teams to align office management with SAFE's mission and strategic goals.
- 8Manage travel, scheduling, and expense reporting for executives, optimizing time and resources.
Requirements10
- 15+ years of progressively responsible executive support, office management, or administrative leadership.
- 22+ years supervising or leading administrative professionals, including coaching and performance management.
- 3Associate's degree in a related field (equivalent professional experience acceptable).
- 4Experience supporting senior executives, ELT, or Boards of Directors.
- 5Proficiency in Microsoft Office Suite, Zoom, SharePoint, DocuSign, and TEAMS.
- 6Demonstrated ability to lead change and improve processes in a fast-moving nonprofit environment.
- 7Strong organizational and project management skills, managing multiple priorities.
- 8Valid Texas Driver's License and 3+ years driving experience (or 1+ year if over 27).
- 9Ability to lift up to 20 pounds, sit/stand for up to 8 hours, and work in a climate-controlled office.
- 10Pass criminal history background check, drug screen, and TB test.
