Event Program Manager, Live Events & Asana
Overview
You will own the full lifecycle of WSB's events and conferences, from strategy to execution, at scale across North America. 5+ years of program management experience and Asana mastery are core to this role. You will lead department heads, manage budgets and timelines, and coordinate staffing. This onsite role in San Jose demands a calm problem solver who moves fluidly between strategy and detail, delivering exceptional guest experiences.
What You'll Do8
- 1Direct the complete lifecycle of events and conferences, aligning with WSB's strategic objectives.
- 2Facilitate weekly cross-functional meetings to keep teams informed and aligned, using Asana to track progress.
- 3Develop and maintain detailed project plans, timelines, and layouts in Asana, serving as the source of truth.
- 4Serve as the central point of contact between clients, vendors, and internal teams, providing regular status updates.
- 5Align with senior leadership on event changes, offering risk evaluations and strategic recommendations.
- 6Manage resources through Asana Portfolios and Workload to balance team capacity.
- 7Drive continuous process improvement by refining workflows and templates in Asana.
- 8Pivot seamlessly when circumstances change, maintaining calm under pressure and solving problems in real time.
Requirements8
- 15+ years in program management or event management, with a BA/BS in Digital Media, Film, or Communications preferred.
- 2Mastery of Asana with deep knowledge of Custom Fields, Portfolios, Workload management, and Multi-homing tasks.
- 3Exceptional verbal and written communication skills, proven ability to align cross-functional teams.
- 4Strong problem-solving skills, able to balance creative vision with logistical realities.
- 5Exceptional negotiation and crisis-management skills, with extreme attention to detail.
- 6Ability to travel globally to support events, with flexibility for off-hours work when urgent issues arise.
- 7PMP or CAPM certification preferred.
- 8Asana Ambassador or Certified Pro status a plus.
