Hilltop Wealth Advisors seeks a Director of Operations to build and lead a reliable scalable operations function. The role establishes processes and structures for client service and internal workflows. This hands-on position creates organization while driving execution. The Director reports to the President and focuses on scaling operations to support $50M revenue goals. No existing operations department exists yet.
What You'll Do40
- 1Build the Operations Function Assess current operations client-service workflows CRM usage task management service capacity and operational risks
- 2Establish clear ownership service standards workflows and escalation paths for recurring operational work
- 3Create operating cadence including daily workflow visibility weekly team meetings KPI reviews and issue escalation
- 4Maintain documentation for core workflows such as client onboarding account maintenance transfers billing support and custodian interactions
- 5Identify high-leverage improvements for technology staffing and capacity to enable scaling
- 6Lead daily client service and operations team until an Operations Manager is hired
- 7Assign prioritize track and follow up on operational work client requests workflow backlogs and cross-functional handoffs
- 8Monitor workload capacity errors rework and service failures intervening when standards slip
- 9Serve as escalation point for complex client-service workflow and operational issues
- 10Partner with advisors to enhance service handoffs advisor support and client experience
- 11Drive consistent use of CRM workflow tools and documentation standards improve data quality and accountability
- 12Collaborate on Advyzon CRM transition partner with President on process changes and data cleanup
- 13Identify friction points and implement practical improvements
- 14Ensure reliable operational data for staffing and capacity decisions
- 15Set clear expectations scorecards development plans and accountability for direct reports
- 16Coach and develop Client Services Team Leads in technical leadership quality control training and future management readiness
- 17Build cross-training and coverage plans to avoid single-point reliance
- 18Hire onboard and develop future operations talent as approved
- 19Address unclear ownership missed commitments and underperformance directly
- 20Execute compliance workflows recordkeeping and audit readiness
- 21Reinforce adherence to compliance policies across operations and client-service functions
- 22First 30 days Understand Hilltop service model client-service team workflow volume systems and bottlenecks
- 23Identifies highest-risk CRM data and workflow breakdowns
- 24Establishes relationships with President advisors client service staff Comply and vendors
- 25Creates clear ownership immediate priorities for current team
- 26Implements daily and weekly operating cadence prioritizes workflow capacity CRM and service-level improvements
- 27Reduces overdue work dropped-ball risks and recurring bottlenecks
- 28Provides President visibility into operational issues without micromanaging
- 29By 90 days core workflows have defined owners documented standards and predictable escalation paths
- 30Current client-service team gains clearer accountability stronger workload visibility and improved process discipline
- 31Reduces priority backlogs and execution failures
- 32President spends less time in daily ops with clear recommendations for next hires
- 33May assign work set priorities implement process improvements hold direct reports accountable
- 34Escalates client-service capacity and compliance risks
- 35Recommends staffing role design technology and process changes

- 39Bachelor’s degree or equivalent experience preferred qualifications include RIA wealth-management operations leadership Advyzon Orion Tamarac Salesforce Redtail Wealthscape or similar certifications
- 40Compensation range $145,000-$185,000

- 23+ years leading or supervising teams
- 3Proven experience improving workflows service delivery accountability and operational capacity
- 4Strong experience managing CRM workflow documentation reporting and process-improvement efforts
- 5Ability to lead in scaling changing environments
- 6Bachelor’s degree or equivalent experience
- 7Preferred: RIA or wealth-management operations leadership experience
- 8Experience with Advyzon Orion Tamarac Salesforce Redtail Wealthscape or comparable systems
- 9Support for compliance operations in regulated settings
- 10FPQP CFP or operations certification or comparable credential
- 11Compensation range $145,000-$185,000
