Convention Service Manager, Hotel Events & Coordinating
Overview
You own the full lifecycle of meetings, conventions, and special events booked through sales at Sonesta in Austin, Texas. You synchronize the group contact's vision with hotel staff to execute flawless functions. With 2+ years of hotel sales experience and a guest-focused mindset, you lead cross-functional teams to deliver unforgettable experiences. This role upsells events, manages function space, and builds client loyalty across 1000+ properties in 8 countries. What You'll Do10
- 1Negotiate food and beverage prices, function space, and hotel services within approved booking guidelines using Delphi FDC and Opera PMS.
- 2Draft and distribute sales contracts, addendums, confirmations, group resumes, and BEOs to clients and all hotel departments.
- 3Assist clients with menu planning, table arrangements, decorations, traffic flow, room setup, group room blocks, and VIP services.
- 4Work with sales staff to service and solicit new business, up-selling events and managing function space and room block inventory.
- 5Coordinate with all hotel departments to fulfill service agreements and report meeting needs between client and hotel.
- 6Check function room setups prior to guest arrival, correct deficiencies, and welcome group contacts to ensure satisfaction.
- 7Monitor setup, refresh, and breakdown of functions per schedules and procedures.
- 8Conduct hotel and banquet facility tours and entertain qualified clients per company policy.
- 9Follow up with clients during and after departure to secure future bookings.
- 10Promote teamwork through daily communication with key departments including housekeeping, culinary, and banquets.
Requirements11
- 12+ years of hotel-related sales experience required.
- 21 year of catering sales in a 4-Diamond hotel with 8,000+ sq ft of function space preferred.
- 3High school diploma or equivalent required; Bachelor's degree preferred.
- 4Excellent verbal and written communication, interpersonal, and customer service skills.
- 5Strong organizational skills with attention to detail.
- 6Analytical and problem-solving skills to handle event logistics.
- 7Ability to prioritize and organize work assignments.
- 8Delphi FDC and Opera PMS experience a plus.
- 9Proficient with Microsoft Office Suite or related software.
- 10Ability to carry, lift, or pull items up to 50 lbs and push/pull up to 200 lbs; frequent standing, bending, climbing, kneeling, and moving about the hotel.
- 11On-site position requiring days, nights, weekends, and holidays as business dictates.
