Compliance Administrator, HOA Inspections in Austin
Overview
You will own the compliance inspection process for a portfolio of HOA properties in Austin. You will conduct 60-100 physical site inspections per month, ensuring adherence to CC&Rs and community standards. You will partner with the Operations Manager and Community Managers to escalate findings and maintain open communication with homeowners. What You'll Do10
- 1Complete 60-100 in-person physical site inspections per month, documenting violations and adherence to CC&Rs and rules.
- 2Manage the inspection schedule based on contracted frequency, prioritizing assigned units and common areas.
- 3Review Association common areas for upkeep and escalate concerns to the Assistant Community Manager or Community Manager.
- 4Track inspections and compliance processes in the company's designated software system, uploading photos and dictation from a smartphone or tablet.
- 5Escalate questions or concerns requiring secondary review to the appropriate team member within 7 business days.
- 6Perform escrow inspections within 7 business days and complete application validation documents as needed.
- 7Conduct inspections for properties transitioning from the Developer stage, focusing on quality standards and cleanliness of common areas.
- 8Communicate regularly with Community Management teams and homeowners to relay compliance feedback in a timely manner.
- 9Drive to offsite client locations, standing and walking properties for up to 4 hours at a time.
- 10Support special projects and other duties as assigned by the Operations Manager.
Requirements10
- 12+ years of work experience in a customer-facing or inspection role.
- 2Valid driver's license, reliable transportation, and an acceptable driving record.
- 3Ability to meet deadlines and address time-sensitive issues with attention to detail.
- 4Excellent written and verbal communication skills.
- 5Proficiency with smartphones or tablets for dictation, photo capture, and electronic documentation.
- 6Willingness to learn company processes and proprietary software.
- 7Ability to self-manage time and prioritize tasks during work hours.
- 8Professional demeanor with all staff and guests.
- 9Ability to stand and walk properties for up to 4 hours at a time and drive for up to 3 hours.
- 10Ability to lift up to 25 pounds and use standard office equipment.
