What You'll Do10
- 1Own daily clinic operations, patient flow, and schedule optimization to support clinic growth and performance goals.
- 2Track and report weekly operational metrics including consultation completion, treatment conversion, patient progression, and schedule utilization.
- 3Serve as primary operational point of contact for patients across the treatment lifecycle, coordinating with Admissions and Insurance on onboarding and authorization.
- 4Manage medical records requests (clearance, medication history, outside records) in compliance with HIPAA and organization policies.
- 5Drive patient follow-up and re-engagement to improve retention and continuity of care, scheduling consultations and follow-up visits.
- 6Lead clinic staff daily, managing attendance, punctuality, and overtime, while coaching on performance and professionalism.
- 7Collaborate with providers, Admissions, Insurance, and technicians to support efficient operations and timely TMS authorizations.
- 8Collect patient payments, manage recurring payments in Transaction Express, and support balance tracking and collections.
- 9Conduct routine chart audits and quality checks for documentation accuracy, and maintain clinic inventory and supply orders.
- 10Provide limited clinical support to technicians as needed, keeping direct patient care secondary to operational duties.
Requirements8
- 12+ years in a leadership, supervisory, or team lead role.
- 2Bachelor's degree in psychology or a related field strongly preferred, or equivalent relevant experience.
- 3Prior experience in a healthcare, behavioral health, or medical office setting highly valued.
- 4Excellent communication and organizational skills with the ability to stay calm and focused in a dynamic patient-facing environment.
- 5Tech-savvy and confident using electronic health systems and payment platforms like Transaction Express.
- 6Commitment to delivering compassionate, high-quality care in a mental health setting.
- 7Knowledge of HIPAA compliance and federal/state regulations.
- 8Ability to manage multiple tasks and prioritize in a fast-paced clinic environment.
