Client Services Coordinator Legal Tech
Overview
We seek a full-time Client Services Coordinator to support onsite operations at our Douglasville office. This role expands client intake and medical treatment coordination as caseload grows. The coordinator reports to the Managing Partner and works directly under attorneys. It is ideal for someone organized persistent and warm with clients who understand that first impressions matter. Expect to greet clients handle document signings and collaborate daily with attorneys and paralegals.
What You'll Do17
- 1Promptly answer return and document inbound calls web inquiries and referral leads
- 2Run conflicts checks before substantive discussions open prospective matters in CasePeer and prepare concise written summaries
- 3Greet and receive prospective clients conduct in-person intake meetings and make people comfortable while they wait
- 4Witness and notarize client signatures on engagement agreements authorizations and affidavits
- 5Send track and follow up on engagement agreements and initial client paperwork
- 6Maintain disciplined follow-up cadence on leads that have not yet signed
- 7Escalate every case-acceptance decision to a supervising attorney
- 8Identify appropriate treating providers for clients based on injury type geography and insurance posture and schedule initial appointments
- 9Prepare and transmit letters of protection confirm provider acceptance and monitor client treatment compliance
- 10Request track and follow up on medical records and itemized billing from providers
- 11Obtain and maintain current HIPAA authorizations and other releases
- 12Keep clients informed of upcoming appointments and next steps in their treatment
- 13Build and maintain in-person working relationships with local treating providers imaging centers and their intake staff
- 14Maintain all case activity deadlines and tasks in CasePeer log every client and provider communication contemporaneously
- 15Process incoming mail scan and index documents to the correct matter and prepare outgoing mail and packages
- 16Provide backup coverage for the front desk and general office needs
- 17Maintain strict confidentiality of all client and firm information
Requirements5
- 12+ years supporting a plaintiff-side personal injury practice or comparable experience in medical scheduling medical billing or healthcare records
- 2Direct experience with letters of protection medical records and billing requests and HIPAA authorizations
- 3Excellent spoken and written English and a professional empathetic manner with clients in distress
- 4Demonstrated ability to manage a high-volume follow-up list without supervision
- 5Comfort with case management software; experience with CasePeer strongly preferred
