AP/AR Specialist Job in Houston, TX | QuickBooks & AIA Draws
Overview
The AP/AR Specialist owns the full cycle of accounts payable and receivable for AnchorCM, handling multiple entities and high-volume vendor transactions. This role manages invoice matching, vendor compliance, and bi-weekly check runs. On the AR side, it prepares AIA G702/703 draws, tracks collections, and forecasts pay applications. The position requires precision in QuickBooks and direct communication with subcontractors, lenders, and management. What You'll Do10
- 1Monitor AP email for multiple entities and ensure all Purchase Orders are entered in the system
- 2Match invoices to POs for bill entry and create vendor profiles in QuickBooks per company guidelines
- 3Verify each vendor has a valid COI and W9 on file before processing payments
- 4Answer subcontractor and vendor queries regarding payment status
- 5Process the approved check run bi-weekly and scan the final approved batch to Dropbox
- 6Prepare draws in accordance with AIA G702/703 and enter draw info in QuickBooks for matching
- 7Ensure timely collection of funds and pay applications by following up on unpaid and aging invoices
- 8Prepare ad-hoc invoices for multiple entities as requested by management
- 9Provide lenders, owners, and construction managers with required documentation for pay application processing
- 10Record received payments in QuickBooks, close invoices, deposit checks, and report unpaid invoices to management
Requirements10
- 1Bachelor's degree in Finance, Accounting, or related field
- 23+ years of experience in full-cycle AP/AR, including invoice matching and collections
- 3Strong analytical skills with attention to detail
- 4Solid knowledge of journal entries and accounting principles
- 5Proficiency in QuickBooks and Microsoft Excel
- 6Experience preparing AIA G702/703 draw packages
- 7Excellent organizational and time management skills
- 8Excellent written and verbal communication skills
- 9Ability to work independently and collaboratively in a team
- 10Relevant certifications such as CPA are a plus
