Advancement Coordinator - Engineering Advancement
Overview
Own the operational backbone of the Engineering Advancement Office, coordinating budgets, contracts, and donor engagement logistics. You will manage 5+ years of financial data in Workday and Concur, support the assistant dean, and supervise a team of student assistants. What You'll Do8
- 1Build and monitor the annual budget for the Engineering Advancement Office, reconciling expenditures in Workday and forecasting needs quarterly.
- 2Design streamlined processes for contracts and vendor payments, ensuring compliance with university procurement policies.
- 3Coordinate complex travel for the assistant dean, managing itineraries and logistics within Concur.
- 4Drive donor meeting preparation by assembling briefing materials and aligning stakeholder schedules.
- 5Oversee constituent data management, updating records in Salesforce and ensuring accuracy for engagement tracking.
- 6Lead onboarding for new employees, setting up workstations, access, and training schedules.
- 7Supervise two to three student assistants, hiring, training, and scheduling to support office operations.
- 8Plan and execute team meetings and retreats, coordinating venues and agendas with university partners.
Requirements9
- 11+ years of professional administrative experience, with a bachelor's degree from an accredited institution.
- 2Proven skill in budgeting and financial reconciliation, using Microsoft Excel or Google Sheets.
- 3Familiarity with enterprise systems like Workday or Concur for travel and expense management.
- 4Strong organizational skills with the ability to manage competing priorities in a dynamic environment.
- 5Excellent written communication for drafting donor materials and policy documentation.
- 6Ability to handle confidential information with discretion and sound judgment.
- 7Proficiency in Microsoft Office and Google Suite for day-to-day operations.
- 8Experience supervising or training student staff is preferred.
- 9Availability to work evenings and weekends for events, with limited travel within the Baltimore–Washington region.
