Administrative Tech Assistant for Family Child Care
Overview
You will own administrative and technology support for the Regional Director-FCC at Nurtury, managing family and educator documentation, parent fees, and the state's waitlist system. Your work ensures compliance and smooth operations across a network of Family Child Care educators. You will act as the bridge between families, educators, and the state's online systems, resolving issues and maintaining accurate records. This role offers direct impact on enrollment and family services, with a bilingual (English/Spanish) team environment.
What You'll Do9
- 1Maintain children's files with all required up-to-date documentation, ensuring accuracy and completeness.
- 2Maintain Family Child Care Educator files, including assisting with liability insurance renewals and tracking deadlines.
- 3Update FCC databases with current family and educator data, verifying information across systems.
- 4Process parent fee collections and billing, reconciling payments and addressing discrepancies.
- 5Answer phones and respond to inquiries, routing calls and relaying messages to appropriate staff.
- 6Add families to the state's Kinderwait waitlist and monitor for vacancies, pulling families when spots open.
- 7Collect documentation for initial enrollment authorizations and reauthorizations, submitting complete packets.
- 8Assist Family Child Care Educators with technical support for Nurtury systems and the state's online portals.
- 9Monitor office supplies inventory and communicate reorder needs to the Regional Director.
Requirements7
- 1Bilingual (English/Spanish) required, with strong oral and written communication in both languages.
- 21-3 years of related experience, preferably in a non-profit setting, with some college education.
- 3Proficiency in MS Office, internet, email, and virtual meeting systems like Zoom or Teams.
- 4Familiarity with state waitlist systems such as Kinderwait and web-based platforms.
- 5Strong organizational and multitasking skills, with attention to detail in documentation.
- 6Exceptional interpersonal and customer service skills, handling sensitive family information with discretion.
- 7Ability to maintain confidentiality and manage multiple priorities in a deadline-driven environment.
