Overview

The Administrative Assistant to the Board of Directors will own board preparation and support at GISW. This part‑time role includes evening board meetings and requires strong organizational abilities. It differs by focusing on board governance and bilingual documentation.

What You'll Do11

  • 1Prepare Board of Directors for meetings, conferences and events including assistance with drafting proposals and agendas as well as briefing and other informational and preparatory material
  • 2Schedule and organize meetings including sending invitations securing locations room setup distributing materials assisting with presentations and being present during meetings
  • 3Provide Board of Directors with historical context background and guidance on issues as needed
  • 4Conduct research on policies practices and motions
  • 5Draft and publish motions on behalf of Board of Directors
  • 6Attend a minimum of ten required in‑person or hybrid Board meetings and three Membership Meetings per school year
  • 7Take and translate minutes and other documents into German and English ensuring proper dissemination
  • 8Maintain Board correspondence with internal and external parties such as the German Embassy government authorities Head of School and Administration
  • 9Ensure continuity and efficacy of Board’s work by maintaining Board related records drafts and implementing a Knowledge Management system
  • 10Assist the Board of Directors in meeting obligations and deadlines under the School’s Bylaws and Rules of Procedure
  • 11Administer and oversee the Board budget

Requirements6

  • 12-4 years of professional administrative experience or equivalent relevant experience
  • 2Excellent writing and organizational skills with attention to detail
  • 3Fluency in German and English both verbal and written
  • 4Ability to organize prioritize and communicate effectively
  • 5Proficiency with computers including MS Office products
  • 6Authorization to work in the United States
