Overview

Own the full-cycle Accounts Payable process for 90 car wash locations across six states. You will manage corporate credit card accounts, vendor master data, and invoice processing with Bill.com. This role reports to the AP Supervisor and partners with an outsourced RSM team. You'll also handle utility analysis and month-end close tasks. What makes this role different: direct ownership of the AP inbox, utility tracking, and credit card administration.

What You'll Do10

  • 1Manage the corporate credit card (Divvy) account, including daily coding approvals, user access, and maintenance.
  • 2Own the Utility Analysis spreadsheet, tracking utility invoices and car counts for all locations.
  • 3Clear the AP email inbox daily by researching, responding, and forwarding invoices to Bill.com with correct coding.
  • 4Review and forward invoices to Bill.com with appropriate coding and approval routing.
  • 5Maintain the purchasing master system: create vendors, set terms, and reconcile accounts.
  • 6Resolve invoice exceptions and denied invoices, ensuring timely resolution.
  • 7Keep complete electronic files of invoices, forms, and documents for audit readiness.
  • 8Assist with month-end close by preparing accruals and reconciliations.
  • 9Support tax and audit preparation by gathering required documentation.
  • 10Provide RSM with requested data and assist AR with merchant statement filing.

Requirements8

  • 15+ years of AP experience in a high-volume environment.
  • 2HSD required; bachelor's degree in accounting or finance preferred.
  • 3Expert-level Microsoft Office 365 skills, including Pivot tables and VLOOKUP.
  • 4Proficiency with Bill.com and Divvy or similar AP automation tools.
  • 5Strong interpersonal and conflict resolution skills, with integrity and professionalism.
  • 6Ability to work collaboratively with accounting team and external partners.
  • 7Detail-oriented with excellent organizational and follow-through skills.
  • 8Ability to sit for prolonged periods and lift up to 15 pounds occasionally.
