Workplace Experience Coordinator, Office Operations & Facilities
Overview
Samba is a media intelligence company that tracks consumer attention across every screen. You will own the day-to-day operations of the New York and Chicago offices, ensuring a seamless, welcoming environment for over 200 employees. This role sits on the global workplace team and partners daily with People, Finance, IT, and Building Management. You will manage vendors, coordinate events, and drive employee experience initiatives. Unlike a typical coordinator role, you will also own health and safety compliance and emergency preparedness. This is an in-office position (4-5 days per week) in New York, with occasional travel to Chicago.
What You'll Do10
- 1Oversee the New York and Chicago offices, serving as the main contact for building management on cleanliness, maintenance, and access control.
- 2Submit and track repair and space improvement tickets, and conduct daily space audits to keep the office tidy and functional.
- 3Restock pantry, snack, and beverage supplies daily, and place weekly orders with vendors.
- 4Coordinate internal moves, desk resets, and setup tasks, and support IT with basic tech troubleshooting like connecting monitors and fixing conference room issues.
- 5Greet visitors, manage security access, and coordinate with EA and Talent Acquisition for candidate and client arrivals.
- 6Ensure compliance with local health and safety regulations, including fire safety, risk assessments, and building codes, and maintain accurate records.
- 7Manage vendor relationships for cleaning, catering, events, and security, and process invoices in line with Samba expense policy.
- 8Support new hire onboarding by sending welcome emails, setting up desks and badges, and distributing devices.
- 9Coordinate on-site and off-site events, including executive visits and All Hands Meetings, with the People Team.
- 10Gather employee feedback to improve office operations and foster a positive culture, and participate in global workplace projects.
Requirements7
- 13-5+ years of office operations or workplace experience.
- 2Proficient in Google Workspace (Docs, Sheets, Calendar, Gmail).
- 3Experience with vendor management and light tech troubleshooting.
- 4Strong organizational and communication skills, with the ability to work autonomously.
- 5Comfortable managing multi-step projects like office moves and space setups.
- 6Willingness to travel to other office locations as needed.
- 7Knowledge of health and safety regulations is a plus.
