Overview

You will own the operations of CBAI's three Harvard Square office locations, keeping every site set up for success and running smoothly. This role blends hands-on facilities and technical troubleshooting with operational systems thinking and an eye for design, serving as the point person for staff and program participants. You'll diagnose WiFi issues, manage vendors, coordinate with co-tenants, and curate inviting spaces that enable people to focus on their work. This is a role for someone who takes real pride in making physical spaces function flawlessly.

What You'll Do8

  • 1Diagnose and fix day-to-day technical issues across all sites, including WiFi, printers, and AV equipment, coordinating with vendors and building management for longer repairs.
  • 2Own the ordering, stocking, and curation of snacks, beverages, and office supplies, building scalable procurement systems as CBAI grows.
  • 3Keep every office warm and productive through plant care, layout improvements, and end-to-end furniture and equipment replacements.
  • 4Manage relationships with co-tenants and building management, coordinating shared space use and resolving tensions.
  • 5Support onboarding and offboarding by ensuring workspaces, access credentials, and supplies are ready, plus running the offboarding checklist.
  • 6Track facilities and operations spending across three locations, maintain budget records, flag variances, and provide summaries to leadership.
  • 7Establish and own health and safety practices, including first aid supplies, emergency procedures, and coordination with building management on fire and security.
  • 8Receive and stock delivery orders, lifting items up to 40 lbs, and walk regularly between sites (up to 0.1 miles apart).

Requirements8

  • 12+ years in office management, facilities, or a similar operations role, ideally in a fast-paced environment.
  • 2Hands-on troubleshooting skills for everyday office tech like WiFi, printers, and AV, or the ability to learn quickly.
  • 3Proven ability to manage vendors and contractors with a bias toward action and reliable follow-through.
  • 4Strong organizational skills with attention to detail, building systems and playbooks for others to follow.
  • 5Warm and clear communication style with staff, co-tenants, and program participants, building easy relationships.
  • 6Resourcefulness in finding cost-effective solutions and staying grounded when priorities shift.
  • 7Alignment with CBAI's mission and motivation to contribute to AI safety work in an operational capacity.
  • 8Physical capability to lift up to 40 lbs and move between office locations.
