Reconstruction Project Director, Xactimate Estimating
Overview
You will own the financial and administrative lifecycle of reconstruction projects at Frontier Services Group, from Xactimate estimates to final billing. You will not manage field production, but will secure signed agreements, drive draw schedules, submit supplements, and ensure complete financial closeout in Procore. You will work alongside a dedicated Project Manager, focusing on scope integrity, client communication, and documentation accuracy. This role demands precision in Xactimate, Symbility, and Procore, with a direct impact on revenue realization.
What You'll Do10
- 1Perform on-site inspections using Docusketch and document conditions to write detailed Xactimate and Symbility estimates with defined turnaround.
- 2Present scopes and pricing to customers, clarify contract terms, and secure signed work authorizations.
- 3Upload estimate documents and signed contracts to Procore within 24 hours of execution.
- 4Serve as the administrative point of contact for customers, providing regular updates on draw requests, supplements, and billing.
- 5Create and communicate the project draw schedule at contract execution, then initiate draw requests aligned with production milestones.
- 6Track received payments and follow up on delays or customer issues, collaborating with PMs to confirm readiness for each billing stage.
- 7Identify supplements for scope gaps, unforeseen conditions, or code upgrades, and gather documentation to submit to carriers or customers.
- 8Maintain supplement logs and revised estimate versions in Procore, updating financials as approvals occur.
- 9Ensure all project documentation is complete, including COS, final photos, and punch list approvals, then submit the final invoice package.
- 10Archive all job documentation in Procore per company policy, coordinating with accounting for billing cadence and closeout.
Requirements9
- 13+ years in restoration estimating or project administration, with experience in insurance-based billing and draw schedules.
- 2Xactimate Level 2 certification required; Symbility certificate preferred.
- 3Proficiency in Xactimate, Symbility (desktop version), Microsoft Excel, and Procore.
- 4High school diploma required; Associate’s or Bachelor’s in Construction Management or Business preferred.
- 5IICRC WRT or FSRT certification preferred, and OSHA 10 or 30 preferred.
- 6Strong written and verbal communication skills, with high attention to detail in financial tracking and document control.
- 7Ability to work office-based with periodic job site visits for scope validation or customer meetings.
- 8Ability to work on-screen for extended periods managing documents, estimates, and Procore records.
- 9Must maintain responsiveness to customers and internal staff throughout the project lifecycle.
