What You'll Do31
- 1Answer and manage all incoming phone calls professionally and friendly
- 2Qualify leads and route inquiries to appropriate team members
- 3Serve as primary contact for prospective and existing clients
- 4Respond promptly to voicemails emails and messages
- 5Manage full lead sales funnel from inquiry to signed contract
- 6Conduct proactive outreach and follow-up via phone email and text
- 7Track lead status conversion rates and pipeline health
- 8Nurture warm leads and re-engage cold prospects
- 9Coordinate sales calls and consultations for design and sales team
- 10Prepare proposals quotes and follow-up materials
- 11Maintain and manage company CRM platform including data entry updates and pipeline management
- 12Log client interactions notes and project milestones
- 13Generate and distribute weekly monthly reports on leads sales activity project status and KPIs
- 14Identify trends and provide actionable insights to leadership
- 15Create organize and maintain project files for active and completed jobs
- 16Coordinate and submit permit applications with local municipalities and track approval timelines
- 17Ensure all required documentation contracts and compliance materials are complete and accessible
- 18Communicate permit status updates to project teams and clients
- 19Maintain organized digital and physical filing systems
- 20Assist in coordinating project photography for completed landscape installations
- 21Organize and maintain photo catalog by project type date and style
- 22Collaborate with team to capture before and after content for marketing use
- 23Tag and archive images for easy retrieval across platforms
- 24Assist with social media content creation and scheduling on Instagram and Facebook
- 25Help develop engaging posts using project photos client testimonials and company updates
- 26Support seasonal campaigns promotions and brand awareness initiatives
- 27Monitor engagement and respond to comments and messages
- 28Support leadership with special projects and operational initiatives
- 29Assist with vendor coordination material ordering and scheduling
- 30Help onboard new processes and tools to improve efficiency
- 31Participate in team meetings and contribute ideas for company growth
Requirements13
- 12 or more years of experience in project management office management or sales coordination
- 2Exceptional verbal and written communication skills
- 3Strong organizational skills with ability to manage multiple priorities simultaneously
- 4Experience working with a CRM platform such as Buildertrend HubSpot Jobber Salesforce
- 5Proficiency in Microsoft Office and Google Workspace
- 6Comfortable making outbound sales calls and following up with leads
- 7Detail-oriented with strong problem-solving abilities
- 8Positive professional attitude and team-first mindset
- 9Preferred Experience in the landscaping construction or home services industry
- 10Familiarity with permit processes and municipal documentation
- 11Basic knowledge of social media platforms and content creation
- 12Experience with project management tools such as Buildertrend Asana or Monday.com
- 13Photography or photo editing experience a plus
