Overview
Orthopedic Surgery Scheduling Lead owns the scheduling, authorization, and team workflow for a premier orthopedic practice at scale. You will lead a on-site team in Pittsburgh, coordinating in-patient and outpatient procedures, pre-operative testing, and post-op care. This role blends clinical coordination with people leadership to deliver efficient surgical care. You will join a collaborative practice with specialties in sports medicine, driving clear communication with surgeons, hospital staff, and patients.
What You'll Do10
- 1Lead the surgical scheduling team on-site, guiding onboarding, daily workflows, and performance reviews to meet practice goals
- 2Schedule in-p patient and outpatient procedures including pre- op testing and post-op visits while coordinating hospital admission reservations
- 3Obtain pre-certifications and referrals, verify benefits, and ensure surgical consents and pre-op clearances are finalized
- 4Provide clinical rooming and triage support including vitals, exam room prep, patient escort, and medical record requests
- 5Communicate pre- and post-op instructions clearly to patients and families and maintain open collaboration with surgeons and operating room staff
- 6Assist with practice operations planning and implement process improvements to support efficient scheduling and patient flow
- 7Maintain HIPAA compliance and protect patient privacy throughout all scheduling and authorization activities
- 8Support new-hire onboarding and contribute to a constructive, patient-centered team culture
- 9Ensure high-quality customer service and professional demeanor in all patient and provider interactions
- 10Monitor and report scheduling metrics to drive continuous improvement
Requirements6
- 1Minimum 4 to 5 years of medical field experience or completion of an accredited Medical Assistant program
- 2High school diploma or GED; Medical Assistant certification or Associate degree preferred
- 3Proficiency with practice management software and EHR systems with Epic experience strongly preferred
- 4Working knowledge of computer databases and multi-line phone systems
- 5Deep understanding of medical terminology, orthopedic scheduling, HIPAA compliance, and payer authorization rules
- 6Proven team leadership, multitasking, prioritization, and excellent clinical communication
