Overview
Responsible for administrative and clerical duties, maintaining documentation and reports, reviewing folders and forms for accuracy, ensuring quality control of outreach and admissions applications, and complying with government and management directives. This role involves dictation, transcription, phone reception, calendar management, meeting coordination, contract audits, report preparation, document library maintenance, liaison duties, applicant folder reviews, data condensation, system development, data processing, communications, outreach, recruitment, job development, and other assignments.
What You'll Do17
- 1Dictation and transcription of correspondence reports and documents
- 2Receive telephone calls and visitors and refer appropriately
- 3Maintain calendar scheduling and meeting minutes
- 4Coordinate meeting logistics and prepare discussion materials
- 5Review and audit assigned areas for compliance and service effectiveness
- 6Prepare related reports and manage correspondence logs
- 7Maintain central library of documents handbooks directives and procedures
- 8Act as liaison between coordinator staff community contacts and customers
- 9Receive log and review applicant folders placement forms for eligibility
- 10Condense summarize and prepare operational data for manager review
- 11Develop and operate systems for planning and evaluating project performance
- 12Maintain data processing and communications systems
- 13Participate in outreach activities with community groups counselors recruiters and agencies
- 14Conduct job development with employers recruiters and job service offices
- 15Gather job market information and provide job counseling
- 16Provide presentations to local employers for student placement
- 17Perform other duties as assigned
Requirements12
- 1Proficiency with advanced Microsoft Office applications including Word PowerPoint Outlook and Excel
- 2Computer literacy with basic functions email internet and Adobe Acrobat
- 3Knowledge of career high level communication interpersonal skills and organizational skills
- 4Extensive knowledge of standard office practices and procedures
- 5Skill in operation of variety of office machines
- 6Ability to work in fast paced deadline oriented situations
- 7One year secretarial experience required
- 8High school diploma or GED required
- 9Associates in Business Degree preferred
- 10Valid State Driver's License
