You will handle administrative support for patent and trademark teams at Cooley LLP, processing docket requests, managing invoices, and coordinating billing. The IP Services team relies on you for document retrieval, expense tracking, and meeting logistics. You will work onsite in Washington, DC with a focus on accuracy and client service. What You'll Do10
- 1Process new docket number requests, conflict checks, and new matter numbers in IntApp.
- 2Obtain patent documents via public databases and firm vendors, ensuring accuracy.
- 3Order and secure certified patent and trademark documents from USPTO and foreign offices.
- 4Upload IDS references through EFS-Web for patent filings.
- 5Coordinate payment for foreign associate invoices after timekeeper approval.
- 6Process domestic vendor invoices and expense reimbursements using Chrome River.
- 7Enter practitioner time and fixed fees in IntApp Time as requested.
- 8Organize monthly client bills, including bookmarking prebills and preparing cover letters.
- 9Update iManage folders per practice group guidelines and prepare courier packages.
- 10Manage meeting logistics, including scheduling conferences and booking travel.
Requirements9
- 1Microsoft Office suite proficiency after orientation, including Outlook, Excel, and Word.
- 2iManage and other firm applications experience preferred.
- 3Bachelor's Degree preferred.
- 4Previous administrative experience in a professional services environment preferred.
- 5Available to work overtime as required.
- 6Strong attention to detail and ability to manage deadlines.
- 7Ability to work independently under pressure and tight time constraints.
- 8Creative and entrepreneurial approach to problem-solving.
- 9Flexible with reprioritization as business needs change.
