HR Assistant, Onboarding & Compliance
Overview
You will own the hiring and onboarding process from offer signature through the new hire's first days, managing compliance tracking and candidate communication. Working under the Onboarding Coordinator, you will coordinate background checks, drug screenings, I-9 verification, and licensing across departments. You will serve as the primary point of contact for candidates and new hires, ensuring every step moves without delay. This role focuses on early-tenure engagement, including 30-day check-ins and 90-day stay interviews, to support retention. You will keep hiring records accurate and accessible, with direct impact on operational readiness.
What You'll Do10
- 1Track completion of background checks, drug screenings, I-9 verification, and licensing requirements after offer signature, escalating incomplete items to the Onboarding Coordinator.
- 2Conduct initial candidate outreach by phone and email, communicating next steps and following up with candidates who have not completed required steps.
- 3Verify each candidate's onboarding documentation against state licensing regulations and applicable requirements, referring questions and exceptions to the Onboarding Coordinator.
- 4Monitor employee compliance with federal and state licensing requirements, following up directly to keep certifications current.
- 5Respond to candidates, new hires, and operational leadership within service expectations to avoid hiring delays.
- 6Maintain hiring records and document management systems so files are complete, current, and retrievable.
- 7Perform data entry to track candidates through each stage from application to new hire status.
- 8Coordinate with other departments to ensure new hires have access, equipment, and instructions before their first shift.
- 9Conduct 30-day check-ins with new hires using established procedures and report issues to the Onboarding Coordinator.
- 10Distribute and track 90-day stay interviews, compiling results for new hire trend reporting.
Requirements6
- 1B.S. in Administration, HR management, or equivalent.
- 22+ years of customer service or administrative experience in a high-volume environment, or equivalent.
- 3Proficient with PC and iOS systems and related software.
- 4Familiarity with HRIS systems.
- 5Prior experience in a high-volume hiring, staffing, or call center environment.
- 6Working knowledge of state security licensing requirements.
