  • 1Oversee office staff vendors and suppliers to achieve Association goals
  • 2Draft correspondence regarding Board of Directors policies
  • 3Direct office operations and schedules
  • 4Maintain adequate insurance coverage and review policies
  • 5Establish relationships with legal counsel
  • 6Review and approve employee timesheets and personnel files
  • 7Assist in creating annual operating and reserve budgets
  • 8Analyze budget trends and historical comparisons
  • 9Monitor budget accounts for variances and seasonal changes
  • 10Prepare vendor lists for carpentry concrete electrical structural engineering project management landscaping tree maintenance and plumbing
  • 11Draft specifications for Requests for Proposal
  • 12Review and approve open RFP requirements
  • 13Provide draft bid proposals to general counsel
  • 14Accept contracts per specifications upon Board approval
  • 15Verify journal entries against monthly unaudited financial statements
  • 16Review and approve Association checks for payments
  • 17Monitor delinquent member accounts and enforce assessment collection
  • 18Track payments for amenity purchases such as key fobs
  • 19Receive and review monthly unaudited financial statements
  • 20Review and schedule maintenance for common areas and amenities
  • 21Confer with maintenance committees to address contractor issues
  • 22Inspect vendor/contractor practices and report findings to Board
  • 23Pre-screen and interview candidates for office positions
  • 24Train and supervise employees and conduct performance appraisals
  • 25Provide guidance on work practices and policies
  • 26Maintain professional image and adhere to confidentiality standards

Requirements12

  • 1Minimum 5 years community association or property management experience
  • 25 years supervisory experience with strong team motivation skills
  • 3Ability to coordinate multiple projects using time management and judgment
  • 4Intermediate mathematics and written/oral communication abilities
  • 5Strong customer relations skills for internal and external stakeholders
  • 6Diplomacy and discretion when handling sensitive information
  • 7Professional appearance and personal etiquette
  • 8Organizational planning and problem-solving capabilities
  • 9High school diploma required minimum bachelor's degree preferred
  • 10CCAM designation or CMCA designation desired
  • 11Availability for Board meetings after regular business hours
