MAAC seeks a Fiscal and Operations Coordinator to own the fiscal and operational backbone of its Economic Development Department. This role manages grant-funded initiatives, budget tracking, and procurement, coordinating with Finance and external partners. You will track KPIs and support the Director with project plans and reporting. Working onsite in Chula Vista, you ensure department goals stay on schedule and within budget. What You'll Do10

  • 1Coordinate project plans, timelines, and workplans for grant-funded strategic initiatives, tracking milestones and deliverables.
  • 2Serve as the primary liaison with Finance, overseeing grant fiscal setup, budget tracking, and expenditure monitoring.
  • 3Track KPIs and outcomes, maintaining dashboards and reports for leadership review and informed decision-making.
  • 4Process purchase requests and procurement activities per MAAC policies, obtaining quotes and coordinating vendors.
  • 5Prepare funder invoices and reimbursement requests, ensuring timely submission and compliance with grant requirements.
  • 6Facilitate meetings with stakeholders, tracking action items and supporting timely completion of deliverables.
  • 7Support budget modifications and forecasting for programs, ensuring alignment with approved budgets.
  • 8Maintain grant and project records in accordance with organizational and funder requirements.
  • 9Coordinate travel arrangements and expense reports for the Director, handling administrative tasks.
  • 10Develop and maintain departmental procedures and templates to improve consistency and efficiency.

Requirements10

  • 1Bachelor's degree in Business Administration, Public Administration, Nonprofit Management, Project Management, Economics, Finance, or a related field; Associate's degree with 2+ years of relevant experience acceptable.
  • 24+ years of progressive experience in project coordination, operations, grants administration, or finance.
  • 3Experience in nonprofit, government, or community development settings preferred.
  • 4Proficiency in budget tracking, procurement, and grant administration processes.
  • 5Working knowledge of Microsoft Office Suite, with advanced Excel skills preferred.
  • 6Experience using financial management systems; NetSuite preferred.
  • 7Strong project management and organizational skills, managing multiple priorities.
  • 8Excellent communication and interpersonal skills for cross-departmental collaboration.
  • 9Ability to handle confidential information with professionalism and discretion.
  • 10Valid California Driver's License and reliable insured vehicle for work duties.
