Overview

You will own the day-to-day management of estate planning workflows for the Trusts & Estates Practice Group, coordinating deadlines, client communications, and quality control across a portfolio of complex matters. You lead and develop a team of administrative staff while partnering closely with experienced attorneys to deliver exceptional client service. This role combines 5+ years of trusts and estates experience with 2+ years of supervisory responsibility. You will join an established, mid-sized law firm that values compassion, integrity, and collaboration, offering a clear path to influence firm processes and client outcomes.

What You'll Do10

  • 1Lead the day-to-day management of estate planning matters, coordinating deadlines, priorities, and client communications across multiple cases.
  • 2Oversee the preparation and quality control of wills, trusts, powers of attorney, and advance directives, ensuring accuracy and compliance with firm policies.
  • 3Supervise, train, and mentor administrative staff, fostering a high-performance team that supports estate planning attorneys.
  • 4Serve as the key point of contact for clients, beneficiaries, financial advisors, and referral sources, building trust and ensuring clear communication.
  • 5Coordinate new matter intake, including the collection and review of client information, and maintain organized case files.
  • 6Manage closed-file processes, including document scanning, indexing, storage, and final matter review.
  • 7Partner with billing and finance teams to resolve work-in-progress and accounts receivable items before file closure.
  • 8Maintain strict confidentiality for all sensitive client, financial, and estate information.
  • 9Identify and implement process improvements that enhance efficiency and elevate the client experience.
  • 10Act as a dependable resource for attorneys and staff, supporting a high standard of service across the practice.

Requirements10

  • 15+ years of directly relevant trusts and estates law experience in a law firm or related environment.
  • 22+ years of supervisory or management experience, with a proven ability to lead, train, and mentor staff.
  • 3Strong understanding of wills, revocable and irrevocable trusts, powers of attorney, advance directives, and related documents.
  • 4Prior experience in a law firm trusts and estates practice strongly preferred; private bank, trust company, family office, or wealth management experience valued.
  • 5Bachelor's degree required; paralegal certificate or advanced degree a plus.
  • 6Exceptional organization and attention to detail, with the ability to manage multiple priorities and deadlines.
  • 7Strong written and verbal communication skills.
  • 8Proficiency with Microsoft Office and document management systems.
  • 9Familiarity with legal billing software or CRM systems a plus.
  • 10Professional, proactive, solutions-oriented approach with a strong commitment to client service.
