Dispatcher AR Invoicing Specialist San Francisco
Overview
You will own dispatch and accounts receivable for a growing plumbing and underground utility company in San Francisco. You'll coordinate technician schedules in real time, keep customers informed, and ensure every job is billed accurately. Working with ServiceTitan, Microsoft Excel, and Outlook, you'll close the loop between field teams and office operations. What You'll Do10
- 1Dispatch technicians based on location, skill set, and availability, adjusting schedules as priorities shift.
- 2Update job statuses and service calls in ServiceTitan to keep records current.
- 3Confirm appointments with customers and provide proactive updates on arrival times.
- 4Create and send invoices in ServiceTitan after job completion, verifying all documentation is attached.
- 5Apply customer payments to accounts and reconcile daily transactions in Excel.
- 6Follow up on overdue balances and manage collections through structured reminder cycles.
- 7Answer inbound calls, respond to emails, and resolve customer questions with professionalism.
- 8Maintain organized digital and physical files for all jobs, invoices, and customer accounts.
- 9Coordinate with office staff and field techs to ensure accurate and timely billing.
- 10Generate weekly reports on open invoices, collections status, and technician utilization for management.
Requirements10
- 12+ years in dispatching, administrative support, or office coordination.
- 2Experience with ServiceTitan or similar service management software preferred.
- 3Proficiency in Microsoft Excel, Word, and Outlook.
- 4Strong organizational skills and ability to manage multiple tasks with accuracy.
- 5Clear written and verbal communication for phone and email interactions.
- 6Professional phone etiquette and customer service mindset.
- 73+ years of clerical experience preferred.
- 8Accounts receivable or invoicing experience preferred.
- 9Detail-oriented with data entry and recordkeeping accuracy.
- 10Bilingual English/Spanish is a plus.
