Department Assistant – Marketing and Business Development
Overview
WilmerHale seeks a motivated Department Assistant to support Clients & Markets at Boston. The role involves delivering high level customer service, processing invoices, scheduling meetings, maintaining resources, coordinating events, managing memberships, assembling marketing materials, handling training, data management, and special projects. What You'll Do11
- 1Provide high level customer service to Clients & Markets team members and internal and external clients
- 2Process and reconcile invoices for department-level expenses and track monthly spending on the department credit card
- 3Organize and schedule department meetings events and training programs ensuring maximum attendance
- 4Maintain department email distribution lists Microsoft Teams channels intranet pages and act as centralized point of contact
- 5Support execution of charitable event sponsorships and contributions by liaising with outside organizations and managing budgets
- 6Coordinate department participation in associations and manage ticket distribution in Boston and Washington DC
- 7Assist with assembly of marketing materials including practice descriptions and lawyer biographies
- 8Schedule and assist with department training programs including new hire onboarding
- 9Help maintain data related to pitches and RFPs and track reporting on Clients & Markets activities
- 10Assist with special projects as requested by Markets & Clients leadership
- 11Proactively maintain departmental resources and serve as point of contact for personnel
Requirements9
- 15+ years building ETL pipelines with Spark and Airflow
- 2Advanced proficiency in Microsoft 365 including Word PowerPoint Excel and Outlook
- 3Strong interpersonal skills and ability to work independently with minimal supervision
- 4Excellent attention to detail proofreading skills and commitment to quality
- 5Time management skills to organize and prioritize workload
- 6Bachelor’s degree or equivalent experience preferred
- 7Prior experience in legal or professional services organization is a plus
- 8Ability to handle confidential information with discretion
- 9Open to technological change and comfortable adapting to new tools
Salary Insight
$78 - $97k per year
