A Client Services Coordinator will own client service operations at scale for a Bay Area wealth management firm. You will enable financial advisors to deliver exceptional client experiences by coordinating meetings, preparing materials, and ensuring accurate records. You’ll work with a collaborative team focused on service excellence and professional growth. What You'll Do10

  • 1Build and manage advisor calendars, schedule meetings, reviews, and client appointments to ensure timely client touchpoints
  • 2Design and prepare meeting materials and account review documentation to support advisor conversations
  • 3Coordinate new account setup and ensure accurate completion of onboarding paperwork
  • 4Move account maintenance transactions and money movement requests following established procedures
  • 5Maintain accurate client records in CRM systems and support data integrity
  • 6Partner with advisors and team members to improve operational efficiency and client satisfaction
  • 7Assist with front office duties including reception support and client greetings
  • 8Help coordinate client appreciation events, educational workshops, and company activities
  • 9Contribute to process improvements that enhance service quality and team effectiveness
  • 10Support a fast-paced environment with a focus on accuracy, responsiveness, and teamwork

Requirements8

  • 12+ years of experience directly supporting financial advisors
  • 2Proactive, service-focused mindset with strong problem-solving and relationship-building skills
  • 3Tech-friendly with proficiency in Microsoft 365 and comfort with AI tools
  • 4Strong organizational abilities and capacity to manage multiple priorities and deadlines
  • 5Outstanding attention to detail and follow-through
  • 6Experience in a fast-paced environment with a team-oriented approach
  • 7Experience with financial services technology platforms including custodial systems, CRM tools, financial planning software, and electronic signature applications preferred
  • 8Bachelor's degree preferred
