Client Relations Specialist, Front Office & Financial Services
Overview
You will be the first point of contact for clients at our Mercer Island and Redmond offices, owning the front desk experience and client-facing operations. You'll greet prospective and existing clients, manage high-volume calls, and support our financial advisors with scheduling, meeting materials, and office coordination. You'll work alongside Salesforce and Microsoft Office to keep client files and workflows accurate. This role is ideal for a warm, detail-oriented professional who thrives in face-to-face client service and wants to grow in the financial services industry.
What You'll Do9
- 1Greet prospective and existing clients with professionalism and warmth, creating a welcoming office environment.
- 2Manage inbound phone calls, route inquiries to the right team members, and ensure clients receive timely assistance.
- 3Schedule and reschedule appointments for financial advisors, and prepare meeting packets and materials.
- 4Process paperwork, scan documents, and update client files in Salesforce and other internal systems.
- 5Order office supplies, stock the breakroom, and maintain an organized, professional office for the Mercer Island branch.
- 6Support the Redmond office on-site at least once per week, managing client visits and office operations as needed.
- 7Collaborate with remote teams to support other branch offices with administrative tasks.
- 8Coordinate logistics for client-facing classes, workshops, and events, including materials and setup.
- 9Support advisors with day-to-day administrative tasks to ensure smooth office operations.
Requirements10
- 1Bachelor's degree in Business, Finance, or a related field preferred.
- 21+ years in a front office, receptionist, client services, or administrative role.
- 3Financial services or operations experience is a plus.
- 4Experience with Salesforce CRM is a plus.
- 5Exceptional interpersonal and written/verbal communication skills.
- 6Warm, professional demeanor with a genuine passion for client service.
- 7Strong organizational skills and ability to multitask.
- 8Proficiency with Microsoft Office Suite and general office technology.
- 9Attention to detail and ability to produce accurate work under deadlines.
- 10Notary Public certification or ability to obtain after hire.
