Overview

Own the client experience for a growing independent tax and advisory practice in the Greater Santa Cruz Area. You will be the first point of contact for clients via phone, email, and in-person, and your warmth and resourcefulness will keep relationships strong. You will also support onboarding, scheduling, and document organization while helping modernize internal systems. This role offers room to grow and make a real impact on client retention.

What You'll Do7

  • 1Serve as the warm, reliable first point of contact for clients by phone, email, or in person, building genuine relationships from the first interaction.
  • 2Research and resolve client questions that fall outside your immediate knowledge, following up until they are fully answered.
  • 3Greet clients, manage scheduling, and keep the front office running smoothly so every visit feels organized and welcoming.
  • 4Support client onboarding paperwork and keep documents organized to ensure nothing falls through the cracks.
  • 5Coordinate with the team on deadlines and client follow-ups, ensuring timely communication and task completion.
  • 6Help improve office processes as we modernize systems, contributing ideas and implementing changes.
  • 7Learn and adopt new systems for scheduling, document management, and client communication as the firm evolves.

Requirements8

  • 11+ years in a client-facing role such as hospitality, retail, concierge, front desk, or administrative support.
  • 2Strong communication skills with a genuine interest in building lasting relationships.
  • 3Self-sufficient research skills to find answers when you don't know something offhand.
  • 4Highly organized with the ability to manage multiple priorities in a busy office.
  • 5Reliable and punctual, with the ability to work onsite in the Greater Santa Cruz Area, Monday through Friday.
  • 6Preferred: experience in a law firm, CPA or EA firm, or other professional services office.
  • 7Preferred: experience in hospitality or service where relationship building was central to the role.
  • 8Preferred: comfort learning new systems and enthusiasm for improving office operations.
