Full-time Business Office Manager role overseeing administrative financial and human resources operations at a skilled advisory facility. This leadership position directs non-clinical systems ensures regulatory compliance and supports residents with cognitive and physical care needs. Reports directly to the Executive Director or Arbor Administrator.

What You'll Do23

  • 1Generate monthly private pay invoices track statements and secure timely collections
  • 2Coordinate Medicaid pending applications and complete complex monthly submissions
  • 3Oversee verification processing and recording of incoming vendor invoices
  • 4Maintain meticulous records count cash collections and execute verified bank deposits
  • 5Direct and audit individual Resident Trust Accounts under strict regulatory guidelines
  • 6Assist executive leadership with daily census balancing and month-end close activities
  • 7Maintain or oversee payroll including employee records processing timecards paychecks and tax computations
  • 8Train and manage front desk concierges clerical specialists and weekend receptionists
  • 9Input data into computer networks maintaining up-to-date physical and digital resident portfolios
  • 10Serve as compassionate point of contact for prospective families visitors and memory care vendors
  • 11Collaborate on local health inspections facility state licensure renewals and Residents Rights policy adherence
  • 12Process payroll status changes for job changes rate changes and terminations
  • 13Administer final pay requests according to state guidelines
  • 14Manage employee time and attendance records maintaining schedules and schedule changes
  • 15Administer employee change requests
  • 16Onboard new hires complete background checks licensure checks TB Hep B CPR Card and required policies
  • 17Maintain employee personnel files ensure accuracy and compliance obtain updated licensure CPR Card TB and Hep B before document expiration
  • 18Assist with recruitment efforts communicate openings to TA Department and attend interviews
  • 19Administer new hire orientations and onboarding processes
  • 20Assist with employee relations conflict resolution answer HR policy questions provide benefits information
  • 21Maintain records related to employee benefits ensure compliance with federal state and local laws
  • 22Maintain HIPAA compliant records participate in HR and payroll audits
  • 23Answer phones and manage correspondence fill and maintain HR documents assist with special projects

Requirements12

  • 15+ years building ETL pipelines with Spark and Airflow
  • 23-5 seasons experience in Human Resources Payroll and new hire onboarding within healthcare clinical settings
  • 3Medicaid Billing insurance billing and collection of private pay resident accounts
  • 4Accounts Receivable processing and Accounts Payable management
  • 5Proficiency in Microsoft Office Suite UKG/UltiPro HRIS and Workable/ATS
  • 6Excellent communication skills essential for interacting with residents families and staff
  • 7Ability to manage multiple tasks prioritize effectively and maintain detailed records
  • 8Strong knowledge of federal state and local laws and regulations
  • 9Positive attitude creating warm patient friendly environment
  • 10Desire to improve quality of life for seniors
