Administrative Assistant, Healthcare Scheduling
Overview
Own scheduling and evaluation coordination for RN and OT teams at a healthcare agency. You will assign evaluations, verify MassHealth eligibility, and maintain electronic records in Laserfiche. Collaborate with Social Workers and OTs to ensure seamless operations. This role offers direct impact on patient care timelines and a stable work environment.
What You'll Do8
- 1Assign evaluations to RN and OT teams, verifying MassHealth IDs and provider status before release.
- 2Enter evaluation details into shared and personal calendars, scheduling initial and re-evaluations with consumers and surrogates.
- 3Confirm next-day evaluations and communicate schedule changes to teams promptly.
- 4Create, update, and transfer electronic evaluation folders to assigned staff in Laserfiche.
- 5Reschedule evaluations as needed and document adjustments in Zuke and calendars.
- 6Collaborate with Social Workers to collect required documents like MD summaries and discharge letters.
- 7Enter referrals in Zuke and the Enrollment Module, ensuring data accuracy.
- 8Prepare monthly and weekly reports and update RN/OT calendars to reflect current schedules.
Requirements8
- 12+ years in healthcare administration or scheduling, strongly preferred.
- 2High school diploma or equivalent; Associate's or Bachelor's degree preferred.
- 3Proficient in Microsoft Office and database management.
- 4Experience with Laserfiche or similar electronic documentation systems.
- 5Familiarity with Zuke or other scheduling databases.
- 6Knowledge of MassHealth eligibility and provider verification processes.
- 7Strong attention to detail and organizational skills.
- 8Ability to work onsite in Boston, Massachusetts.
