Management Assistant, Retail Property Management NYC
Overview
You will support daily operations for a portfolio of retail properties across New York City, reporting to the VP of Retail Management. You will coordinate tenant relations, lease compliance, vendor projects, and administrative processes for TF Cornerstone, a vertically integrated real estate firm with 11,800 apartments and 3 million square feet of commercial space. Your work ensures regulatory compliance, tenant satisfaction, and smooth property operations. This role offers direct exposure to retail property management and cross-department collaboration.
What You'll Do10
- 1Coordinate tenant move-ins and move-outs, serving as the primary contact for operational issues.
- 2Monitor tenant compliance with lease terms, tracking violations, permits, licenses, and insurance certificates.
- 3Maintain tenant records including utility accounts, certificates of insurance, and HVAC filter logs.
- 4Manage repair and maintenance projects with vendors, ensuring work aligns with property standards.
- 5Assist with Local Law 84 benchmarking and compliance for Local Law 88, Local Law 126, and Local Law 152.
- 6Review vendor invoices for accuracy, prepare purchase orders, and process tenant chargebacks.
- 7Collaborate with Construction, Engineering, Accounting, and Legal on property initiatives.
- 8Track project progress and communicate updates to management and stakeholders.
- 9Organize files and documentation for audits and operational reporting.
- 10Support daily operational needs across the retail portfolio, ensuring tenant satisfaction.
Requirements9
- 1Bachelor's degree in Real Estate, Property Management, Business, Construction Management, or a related field.
- 23+ years of full-time property management experience.
- 3Strong organizational, analytical, and project management skills.
- 4Excellent verbal and written communication skills.
- 5Ability to prioritize multiple assignments independently.
- 6Proficiency in Microsoft Outlook, Excel, and Word.
- 7Preferred: commercial or retail property management experience.
- 8Preferred: experience with DOB BIS, DOB NOW, and FDNY portal.
- 9Preferred: construction or project management background.
