Contract Administrator - Institute on Aging
Overview
IOA seeks a Contract Administrator to lead contract operations at the San Francisco office. This role drives efficient record management within the CLM system while supporting senior services. The position focuses on maintaining accurate documentation and enhancing internal processes.
What You'll Do11
- 1Upload executed contracts amendments and supporting documentation into the CLM system promptly and accurately
- 2Maintain organized digital contract files with proper version control and integrity
- 3Monitor contract status and track expiration or renewal dates
- 4Respond to internal requests for contract copies and related documentation
- 5Ensure contract records remain complete accurate and audit ready
- 6Generate reports or dashboards from the CLM system as requested by the Director of Contracts
- 7Provide basic navigation support to internal users within the CLM platform
- 8Assist with process improvements for contract documentation and system workflows
- 9Offer general administrative support to the Contracts Department
- 10Support daily operations of the Contracts Department
- 11Handle sensitive information with discretion and demonstrate strong internal customer service orientation
Requirements11
- 1Associate or bachelor's degree preferred or equivalent experience
- 25-6 years administrative contract administration records management or related experience
- 3Experience with CLM platforms or similar document management systems preferred
- 4Strong attention to detail and commitment to data accuracy
- 5Excellent organizational and document management skills
- 6Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- 7Proficiency in Microsoft Office Suite Word Excel Outlook
- 8Experience with e-signature platforms such as DocuSign preferred
- 9Ability to handle confidential information discreetly
- 10Basic understanding of contract terminology and ability to identify key provisions
- 11Experience with electronic signatures preferred
