The Contract Administrator supports the Senior Accountant and ensures effective administration of contracts vendors and certificates of insurance. What You'll Do52

  • 1Administer and distribute contracts to internal and external trade partners
  • 2Maintain subcontractor compliance and follow up with non compliant partners
  • 3Request and prepare certificates of insurance as needed
  • 4Set up and maintain accurate vendor information in the accounting system
  • 5Distribute invoices to appropriate internal teams
  • 6Assist with month and year-end closings
  • 7Receive and review subcontractor and vendor invoices daily
  • 8Record preliminary notice information from subcontractors and suppliers
  • 9Ensure subcontractor invoices include proper lien release information
  • 10Code invoices by job number and CSI code for Project Manager review
  • 11Review subcontract invoices and change orders for accuracy
  • 12Submit AP reports to Project Managers COO and CEO for approval
  • 13Make payments on vendor invoices and credit cards before due dates
  • 14Take advantage of early payment discounts with CEO approval
  • 15Process all ACH and checks matching payment stubs
  • 16Sign off on credit cards and expense reports
  • 17Review W9 and 1099 information at year end
  • 18Enter credit card transactions according to company policy
  • 19Review weekly AR aging reports and discuss payment timing with Project Managers
  • 20Produce AP reports for Project Managers COO and CEO
  • 21Assist with billing and generate off contract invoices
  • 22Analyze collection trends and escalate issues
  • 23Clear bank registers in Sage 300
  • 24Reconcile primary bank account monthly
  • 25Assist with Project Closeout and startup
  • 26Oversee three profit centers including service team tool rentals construction
  • 27Enter payroll information and produce bi weekly payroll
  • 28Run payroll audits and produce final paychecks
  • 29Maintain Empower information and file workers comp audits
  • 30Follow state and federal wage hour laws
  • 31Monitor prevailing wage and dues
  • 32Manage employee 401k withholdings
  • 33Process changes to employee Empower accounts
  • 34Set up new hires in Sage during onboarding
  • 35Notify EDD regarding new hires
  • 36Follow internal controls to reconcile bank accounts
  • 37Attend bi weekly Project Management meetings
  • 38Maintain organized filing system for AR and AP
  • 39Review internal controls and audit files
  • 40Attend company required meetings
  • 41Maintain organized filing system for all AR and AP copies
  • 42Review and audit files for monthly and annual reporting
  • 43Work with Accounting team for seamless processes
  • 44Attend all company required meetings and prepare documents
  • 45Maintain organized filing system for all AR and AP hard and soft copies
  • 46Review construction lien laws
  • 47Proficient in MS Office Word Excel Outlook
  • 48Experience with Sage 300 preferred

  • 23-5 seasons experience in accounting
  • 35+ years constructing contracts with CPC Card
