Accounts Receivable Clerk in Miami | Bookkeeping
Overview
You will own the full-cycle accounts receivable process for Chefness Gourmet Foods LLC, a fast-moving specialty food distributor in Miami, handling $2M+ in monthly invoices. You will report directly to the Controller and work alongside the sales and operations teams to keep cash flow healthy. This role stands out because you will also help implement QuickBooks automation and reconcile multi-currency accounts, giving you direct impact on financial reporting.
What You'll Do8
- 1Process and record customer payments in QuickBooks within 24 hours of receipt, ensuring zero posting errors.
- 2Review account information daily and correct discrepancies before they age past 30 days.
- 3Create and send invoices with accurate line items and payment terms, using Excel formulas to track aging.
- 4Send overdue payment reminders via Outlook and phone, following up on 90+ day accounts until resolution.
- 5Research account discrepancies by pulling transaction histories and matching them against bank statements.
- 6Collaborate with the sales team to gather missing purchase orders and update account statuses in real time.
- 7Generate weekly aging reports and present them to the Controller, flagging at-risk accounts for repayment plans.
- 8Communicate with clients in English, Spanish, or Hebrew to resolve payment issues and confirm balances.
Requirements7
- 1Bachelor’s degree in Accounting or a related field from an accredited university.
- 22+ years of hands-on experience as an Accounts Receivable Clerk or in a similar billing role.
- 3Advanced proficiency in Excel, including VLOOKUP, pivot tables, and SUMIFS for reconciliation.
- 4Working knowledge of QuickBooks for invoicing, payments, and reporting.
- 5Familiarity with Microsoft Word and Outlook for documentation and email communication.
- 6Solid understanding of accounting principles such as accrual basis and GAAP for revenue recognition.
- 7Verbal communication skills in English, Spanish, and Hebrew (conversational level is acceptable).
