Office Manager, Optometry Practice & Retail Operations
Overview
Own the full P&L of a high-volume optometry office, driving Total Patient Experience (TPE) to grow revenue and EBITDA. Manage a 5-10 person team, coordinate with on-site doctors, and run daily operations including scheduling, inventory, and compliance. This role blends retail leadership with clinical support, requiring ABO or NCLE certification for advancement. You will report to a regional director and have autonomy over office performance, with a clear path to Licensed Office Manager.
What You'll Do9
- 1Direct sales and profitability through TPE execution, setting daily targets and coaching staff on KPI metrics.
- 2Serve as liaison between doctors and staff, aligning medical and retail goals for patient satisfaction.
- 3Recruit, hire, and train team members, conducting performance reviews and compensation adjustments.
- 4Coach staff on KPI scorecard results, providing real-time feedback and corrective action.
- 5Maintain facility to corporate standards, ensuring HIPAA and OSHA compliance, and managing hazardous materials.
- 6Enforce cash handling policies, reconciling petty cash and submitting financial documents on schedule.
- 7Schedule team shifts, lead weekly meetings, and generate performance reports using Excel.
- 8Manage inventory levels, placing supply orders and minimizing shrinkage.
- 9Drive patient loyalty through exceptional service, resolving complaints and improving satisfaction scores.
Requirements7
- 12+ years managing a retail or healthcare office, with proven ability to hit revenue targets.
- 21+ years in optical or eyecare setting preferred, with knowledge of ABO or NCLE standards.
- 3High school diploma or GED required; bachelor's degree a plus.
- 4Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook for reporting and communication.
- 5Ability to pass a background check and provide proof of work eligibility.
- 6Willingness to work flexible shifts, including Saturdays, within clinic hours.
- 7Physical capability to lift 25 lbs, stand/walk for extended periods, and perform fine motor tasks.
