Legal Coordinator - Longacre Group - New York
Overview
We seek an organized proactive detail-oriented Legal Coordinator to support legal and operational needs of our property management and asset management firm. This role involves legal documentation contract administration regulatory compliance litigation tracking landlord-tenant matters insurance claims and communication with internal teams and outside counsel. The ideal candidate excels at managing multiple deadlines handling confidential information professionally and communicating effectively with property managers owners residents vendors attorneys and government agencies.
What You'll Do11
- 1Provide administrative and operational support for legal matters prepare organize review and maintain legal documents correspondence notices agreements and case files
- 2Coordinate document execution notarization filing distribution and retention
- 3Maintain accurate electronic and physical legal records monitor deadlines court dates and prepare summaries status reports for management and outside counsel
- 4Handle sensitive information with discretion support landlord-tenant matters including nonpayment cases holdover proceedings lease disputes resident complaints and other housing issues
- 5Track active housing court cases provide updates coordinate preparation and serving of required notices maintain records of stipulations judgments payments settlements and court orders
- 6Assist with drafting reviewing processing and maintaining vendor agreements service contracts management agreements confidentiality agreements consulting agreements and other business documents
- 7Monitor compliance requirements affecting residential and commercial properties track violations complaints inspections hearings permits licenses and corrective-action deadlines coordinate with property managers building staff vendors and attorneys to resolve violations respond to subpoenas records requests and agency inquiries
- 8Support internal audits and compliance reviews organize requested records track corrective actions ensure company policies procedures and document-retention practices are followed
- 9Maintain centralized tracker of pending and resolved litigation claims demands and disputes collect documents for discovery investigations insurance claims and legal proceedings coordinate with insurance brokers carriers claims representatives property teams and outside counsel
- 10Track incidents involving property damage personal injury resident disputes employment matters vendor disputes and other potential claims preserve incident reports photographs video footage witness statements contracts and other supporting records monitor legal invoices review billing for accuracy and allocate matter
- 11Prepare meeting agendas organize supporting materials document follow-up items manage multiple projects and deadlines keep leadership informed of urgent matters identify missing documentation upcoming deadlines and unresolved issues perform other legal administrative and compliance duties
Requirements9
- 1Bachelor’s degree in Legal Studies Business Administration Real Estate Paralegal Studies or minimum four years of relevant experience in legal coordination paralegal support property management compliance or related area
- 2Paralegal certificate preferred but not required
- 3Two or more years of experience in legal coordination paralegal support property management real estate compliance or related administrative role preferred
- 4Strong experience supporting property management asset management landlord-tenant or housing law environments
- 5Familiarity with leases contracts housing court matters regulatory violations insurance claims litigation documentation preferred
- 6Excellent written and verbal communication strong organizational time-management and follow-up abilities ability to manage multiple deadlines and competing priorities with high accuracy strong attention to detail and document-management skills ability to maintain confidentiality and use sound judgment proficiency in Microsoft Office Outlook Word Excel Teams and SharePoint
- 7Ability to learn legal property management document-management and case-tracking systems independent work collaboration with multiple departments and external partners
- 8Knowledge of New York landlord-tenant procedures and housing-related compliance requirements experience working with outside counsel courts government agencies insurance carriers or property management teams
- 9Experience maintaining litigation violation contract or compliance trackers familiarity with document retention legal holds and confidential recordkeeping ability to review complex documentation and summarize key information for leadership strong sense of urgency and ability to recognize matters requiring immediate escalation
