Front Desk Administrative Assistant Dominion Residence of Maryland Inc
Overview
Reports to the Executive Director or assignee in his absence. This role owns visitor relations security and administrative operations at a high‑security residential facility. The position differs by focusing exclusively on front‑desk and administrative support without broader managerial responsibilities.
What You'll Do19
- 1Greet and welcome visitors while directing them appropriately
- 2Answer main phone promptly and professionally handling messages
- 3Maintain security and telecommunications systems following protocols
- 4Operate main phone and conference consoles according to manufacturer instructions
- 5Organize and schedule meetings for the Executive Director
- 6Maintain applicant logs using Excel and email weekly to HR Consultant
- 7Check references and distribute medical insurance enrollment forms
- 8Prepare correspondence memos letters faxes and forms for executive review
- 9Assist in preparing regularly scheduled reports
- 10Develop and maintain employee file computer systems
- 11Order and coordinate food supplies for staff meetings
- 12Research create presentations and manage multiple executive projects
- 13Perform preventive equipment maintenance and inventory checks
- 14Handle sensitive information confidentially
- 15Contribute to team efforts by assembling binders
- 16Execute administrative tasks such as filing typing copying scanning
- 17Receive sort and distribute daily mail
- 18Collect timesheets and provide to Program Manager
- 19Photocopy and print documents upon executive approval
Requirements7
- 15+ years building ETL pipelines with Spark and Airflow
- 2High school diploma or equivalent; college degree preferred
- 3At least 1-2 years of administrative or assistant experience
- 4Proficient in MS Office
- 5Strong organizational and planning skills
- 6Excellent written and verbal communication skills
- 7High attention to detail and problem solving abilities
