Working with Microsoft Office and Smart Advocate, you will support a team of attorneys and paralegals. You will handle client interactions, route urgent calls, and maintain digital files. What You'll Do10

  • 1Greet clients in-office, log visits, and route calls to the right people.
  • 2Identify urgent client issues and escalate them per the firm's call process.
  • 3Return missed calls and complete callbacks assigned by the manager.
  • 4Retrieve and process voicemails from main lines.
  • 5Sort and distribute incoming and outgoing mail and packages via USPS, UPS, and FedEx.
  • 6Scan and fax client documents using E-fax and upload files into Smart Advocate.
  • 7Manage office supplies inventory and keep the lobby and waiting areas tidy.
  • 8Support marketing events, including conferences and union outings, and post to social media channels.
  • 9Create digital marketing materials and ensure brand consistency across platforms.
  • 10Maintain strict confidentiality of client records, categorizing and uploading documents into client matters.

Requirements10

  • 11-2 years of administrative experience.
  • 21 year in a call center environment preferred.
  • 3Bilingual Spanish (required).
  • 4Proficient with Microsoft Office Suite and general office equipment.
  • 5High school diploma or equivalent (required).
  • 6Excellent data entry and typing skills.
  • 7Strong listening, verbal, and written communication skills.
  • 8Ability to handle stressful situations and adapt to change.
  • 9Knowledge of customer service practices and principles.
  • 10Reliable, punctual, and professional appearance.
